Position:  Receptionist

 

Reports to:  Vice President of Brand Engagement & Talent Acquisition

 

Position Highlights

As the receptionist, you will be the first impression and initial contact with our guests, vendors, and team members. You get to connect with individuals while answering phones, directing in office traffic, and providing solutions to those seeking assistance in our office. You will find that this position allows you to showcase your incredible communication skills, while providing an excellent level of customer service. Our office is fun and fast paced just like our production floors which means this position requires multi-tasking and organization, as well as the ability to handle confidential information. Our perfect candidate will be reliable, friendly, positive, have strong verbal and written communication skills, and will have a “whatever it takes” attitude. This position will offer approximately 20-25hrs per week. 

 

A Day in The Life of a Front Office Assistant

  • Answer multi-line telephones, screen, and direct calls to the appropriate recipient
  • Take messages and communicate them in a professional manner
  • Provide information to callers including details about our organization and culture, as well as necessary team member information
  • Greet applicants/clients/vendors in our office
  • General administrative and clerical support including data entry, filing, and organizing
  • Preparation of letters, documents, fliers, and mail handling
  • Scheduling appointments and coordinate business calendars for Talent Specialist, Administrative Assistant, and executive leaders when necessary
  • Handle necessary tasks and off-site errands as needed for VP and COO
  • Brainstorm and share creative, strategic, planning ideas
  • Assist in engagement efforts and events as requested
  • Keep the Front Office area clean and presentable
  • Maintain a high level of integrity, professionalism, and confidentiality

 

Education and Experience

  • High School Diploma required
  • Valid drivers license and dependable transportation
  • Willingness to learn new things
  • Proficient in Excel, Word, PowerPoint and solid typing skills
  • Customer Service experience preferred
